Manage your subscription
Upgrades, downgrades, term changes, seat changes, and cancellation — what applies immediately and what waits for renewal.
All subscription changes live under Manage Workspace → Billing → Subscription and require a workspace admin. The rules below are the same ones the billing page enforces, so if a button is missing there, one of these rules is why.
When changes take effect
| Change | Takes effect |
|---|---|
| Upgrade to a higher plan | Immediately, prorated |
| Downgrade to a lower plan | At the end of the current billing period |
| Move to a longer term (e.g. monthly → annual) | Immediately, at the new rate |
| Move to a shorter term (e.g. annual → monthly) | At the end of the current billing period |
| Add researcher seats | Immediately, prorated |
| Remove researcher seats | At the end of the current billing period |
| Cancel | At the end of the current billing period |
Only one scheduled change can be pending at a time — the Subscription page shows it ("Scheduled to switch to … on …"), and a new change is blocked until it applies.
Upgrades
Upgrades apply immediately with a prorated charge for the remainder of the period. New plan limits unblock as soon as the change completes, so an "upgrade required" prompt resolves right after checkout.
Downgrades
Downgrades are scheduled for renewal — you keep what you paid for until the period ends. If the lower plan has lower limits, everything you already have stays intact; you just can't create more of a resource that's over the new cap until you're back under it.
Researcher seats
Additional researcher seats are a team-plan feature, managed in the Additional seats section once the workspace has an active paid subscription.
- Adding seats applies immediately and is prorated.
- Removing seats is scheduled for renewal, and you can't reduce below the seats currently in use (active researchers plus pending researcher invitations) — free up seats first under Manage Workspace → Members by removing researchers, changing their seat, or revoking invitations.
- With Automatically add seats when full on (the default, in workspace settings), inviting a researcher when every seat is taken adds and bills a seat for you.
Cancellation
Cancelling schedules the subscription to end at the current period's close; paid access continues until then.
- Personal workspaces return to the free Starter plan.
- Team workspaces become read-only: all data — projects, studies, results, recordings — stays visible, but nothing new can be created or edited until a new subscription starts.
